Don’t Delay: Submit New Hire Info Before Their First Day!
Timely new hire onboarding isn’t just a best practice—it’s a compliance requirement.
To help keep your business protected and your new employees set up for success, we’re reminding all clients of the importance of submitting new hire information promptly and before their first day of work.
Why Timing Matters
Under federal law, Form I-9 must be completed no later than the employee’s first day of work for pay. Failing to meet this deadline—or starting an employee before required onboarding steps are complete—can lead to Fine and penalties for I9 violations as well as delays in system set up, payroll and benefit eligibility
To help us support your compliance and onboarding process:
Option 1: Email your payroll specialist with all new hire information before the employee begins work.
Option 2: Enter new hires directly through the New Hire Screen in Prism.
Not sure how? We’re happy to walk you through it, give us a call at 314-544-1700 to speak to a payroll specialist.
The sooner we have your new hire’s information, the sooner we can:
- Set up payroll
- Trigger onboarding workflows
- Ensure tax and benefits records are accurate
- Complete I-9 documentation electronically and on time
